Privacy notice

This explains what personal data Completer handles, why, and what you can ask us to do about it. It is written to be read rather than to cover us.

Who we are

Completer is run by Thomas Reid, trading as Completer, a sole trader based in Brighton & Hove, United Kingdom. For the purposes of UK data protection law, we are the data controller for the information described under When we are the controller below.

For anything about this notice or your personal data, email privacy@completer.co.uk. We will give you a postal address on request.

Two different roles

This is the part most privacy notices blur, and it decides who is accountable to you.

When we are the controller

When you join our early-access waitlist, or contact us directly, we decide why and how your data is used. We are the controller for that.

When we are only a processor

When an estate agency uses Completer to run a sale, the agency decides what goes in and why. The agency is the controller and we act on their instructions. If you are a buyer, seller, solicitor, surveyor or broker and you want your information corrected or removed from a sale, the agency is the right first port of call — they hold the relationship and the decision. Contact us if they do not respond and we will help.

What we collect

If you join the waitlist

Your email address, your agency's name, the band you pick for how many sales you have on, whether you would take a twenty-minute call, and anything you type in the free text box. That is all. The form has a hidden anti-spam field which we discard.

If you hold an account

Your name, email address, a securely hashed password, the agency you belong to, your notification preferences, and a record of which product tours you have seen.

If you take part in a sale

Your name, email address, your role in the sale, when you accepted the invitation, and what you do in the app — milestones you complete, documents you upload or open, and messages you send.

What an agency records about a sale

Property address, price, tenure, target dates, milestones and their owners, document requests, messages, and an audit trail of every change with who made it and when. The audit trail also records when someone downloads or previews a document.

What we deliberately do not collect

We do not store identity documents, AML evidence or proof of funds. Those support the agency's and the conveyancer's own legal duties, each of whom must keep their own records. Completer records only that a check was done, by whom, when, and where the real record lives. This is enforced in the database, not just by policy.

We do not use analytics, advertising or tracking of any kind. There is no Google Analytics, no advertising pixel and no third-party script on this site. The only cookies we set are the ones that keep you signed in.

Why we are allowed to use it

  • Waitlist — your consent. You asked us to contact you about Completer. You can withdraw that at any time and we will delete your entry.
  • Running your account — performance of a contract. We cannot provide the service without it.
  • Taking part in a sale — the agency's legitimate interests in progressing a transaction you are party to, under their instructions.
  • The audit trail — legitimate interests. Agencies need to be able to evidence what happened on a transaction, including to The Property Ombudsman.
  • Security and fraud prevention — legitimate interests.

Who else processes it

We use three sub-processors, and no others:

WhoWhat forWhere
SupabaseDatabase and document storageIreland (EU)
VercelWebsite and application hostingUS company, EU edge
ResendSending emailUS company, EU sending region

Your data is stored in Ireland. Vercel and Resend are US-headquartered, so some processing may happen outside the UK and EEA; where it does, it is covered by the standard contractual clauses and the UK addendum. We do not sell your data, and we do not share it for anyone else's marketing.

How long we keep it

  • Waitlist entries — until you ask us to remove them, or twelve months after we open to general signup, whichever comes first.
  • Account data — while your account is open, and then deleted on request.
  • Sale records, including the audit trail — for the life of the sale and the agency's account. The agency decides this; they may have their own record-keeping obligations.
  • Documents — deleted at the same time as the sale they belong to. We also run a manual sweep for any file that was left behind by a failed deletion, so that documents cannot quietly outlive the sale they were attached to.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

Email privacy@completer.co.uk and we will respond within one month. We handle these by hand rather than with a self-service button, because a sale holds other people's records alongside yours and deleting one person's data should not quietly destroy someone else's.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk, or call 0303 123 1113. We would rather you told us first so we can put it right.

How we protect it

  • Access is enforced by the database itself, not only by the application.
  • Documents are held in private storage scoped to a single sale, reachable only through links that expire within minutes, and every access is recorded.
  • Data is encrypted in transit and at rest.
  • Being straight with you: Completer is a new product from a small team and we do not hold ISO 27001, SOC 2 or Cyber Essentials certification. We will say so plainly rather than imply otherwise, and we will update this when that changes.

Cookies

We set cookies only to keep you signed in and to keep your session secure. There are no analytics, advertising or tracking cookies, which is why this site has no cookie banner — there is nothing to consent to.

Changes

If we change this notice we will update the date at the top, and we will tell account holders by email if the change is significant.
